Privacy policy
TradePilot Apps, LLC (“TradePilot”, “we”) makes TradePilot, business software for HVAC and other trades contractors. This policy explains what we collect, why, and who we share it with. It covers tradepilotco.com, the TradePilot apps, and TradePilot appointment texts.
What we collect
When you visit tradepilotco.com
- Your email address, if you join our update list. We use it to tell you when TradePilot opens and to send occasional product updates.
- Standard server logs kept by our hosting provider, such as IP address, browser type and the pages requested. We use them to keep the site running and secure.
This site doesn’t use advertising or analytics cookies.
When a contractor uses TradePilot
Contractors use TradePilot to run their business. They enter information about their own customers, such as names, phone numbers, email addresses, service addresses, equipment, appointments, estimates, invoices and payments. We store and process that information on the contractor’s behalf to provide the service to them. If you’re a contractor’s customer and want to see, correct or delete that information, contact the contractor, or email us and we’ll help.
For people who sign in to TradePilot (contractors and their staff), we also collect account details such as name, email address and the actions taken in the app.
Text messages
When you agree to receive TradePilot appointment texts, we collect your mobile number and your consent and use them only to send texts about your service appointments. We also keep a record of each text we send, whether it was delivered, and any STOP, START or HELP replies.
How we use it
- To provide, maintain and secure TradePilot.
- To send appointment texts you agreed to, and emails you asked for.
- To answer your questions and support requests.
- To meet legal obligations.
We don’t sell personal information, and we don’t use it for targeted advertising.
Text messages and your mobile number
We do not sell or share mobile numbers, SMS opt-in data or consent with third parties or affiliates for marketing or promotional purposes. We share them only with the contractor who booked your visit and with Twilio, which delivers the texts for us.
You can stop texts at any time by replying STOP. See the SMS terms for details.
Who we share it with
We share information only with the service providers that run TradePilot for us, under contracts that limit them to that work:
- Hosting and databases (Vercel, Supabase)
- Text message delivery (Twilio)
- Email lists (Mailchimp)
- Error monitoring (Sentry)
We may also disclose information if the law requires it, to protect people’s rights and safety, or as part of a merger or sale of the business, in which case this policy continues to apply.
How long we keep it
We keep information for as long as it’s needed for the purposes above. Contractors decide how long their customer records stay in TradePilot. If you leave our update list, we stop emailing you. If you reply STOP, we stop texting you and keep a record of the opt-out so it’s honored.
Your choices and rights
- Emails: use the unsubscribe link in any email.
- Texts: reply STOP to any TradePilot text.
- Access, correction and deletion: email hello@tradepilotco.com. We’ll respond within 45 days.
California residents have the right to know what personal information we collect, use and disclose, to have it corrected or deleted, and not to be discriminated against for exercising these rights. We don’t sell or share personal information as those terms are defined under California law. To make a request, email us; we may need to verify your identity first.
Children
TradePilot is a business tool and isn’t directed to children under 13. We don’t knowingly collect their information.
Security
We protect information with encryption in transit, access controls and separation between contractors’ data. No system is perfectly secure, so we can’t guarantee absolute security.
Changes
If we change this policy, we’ll update the date at the top. Significant changes will be announced on this page before they take effect.
